Job Summary
The Supply Chain Export Coordinator coordinates and manages the export of goods in accordance with international trade regulations and company procedures. This position oversees operations from booking to delivery through collaboration with internal teams, freight forwarders, carriers, and regulatory authorities.
- SAP training and process development.
- Support cycle count reconciliation.
- Support preparation of international documentation, primarily commercial invoice generation.
- Assist with sales orders and work with DELA to resolve open orders.
- Quality assurance and inspection activities.
The Supply Chain Export Coordinator to support the Sr. Manager, Inventory Control & Logistics, or Import-Export Manager. This role works with Global Supply Chain teams on ITAR/EAR regulations, OFAC compliance, and trade compliance program implementation.
Responsibilities:
Quality and Inspection Activities:
- Inspect inbound parts, sub-assemblies, and finished goods for visible defects, including scratches, dents, contamination, or packaging damage.
- Confirm product identification with purchase orders, packing lists, or ERP records.
- Utilize measuring tools such as calipers, micrometers, height gauges, and plug gauges to verify critical dimensions as required.
- Document inspection results in the ERP system and attach records to the shipment file
In-Process Inspection
- Verify assembly activities and ensure parts meet drawings, specs, and sampling plans. Note discrepancies; escalate non-conformance to Quality Operations. Work with assembly/warehouse teams to resolve issues before shipment.
Final/Pre-Shipment Inspection
- Confirm order accuracy, labeling, documentation, and packaging. Check ITAR/EAR compliance by part number and classification. Complete and file the Inspection Report in ERP/SAP.
Documentation & Reporting
- Fill out checklists and reports for each batch/order. Enter inspection data into ERP/SAP immediately. Alert Quality Operations or Export Compliance of any non-conformances. Keep records for audits, including defect photos if needed.
Sampling & Acceptance
- Use SOP sampling plans. Accept or reject lots, send rejected material for MRB review, and identify it clearly to prevent shipment.
Compliance
- Follow internal procedures (21 CFR 820, ISO). Support export compliance (ITAR/EAR/OFAC) and keep documentation traceable per company policy.
Business and Logistics Activities:
- Coordinate and monitor exports to ensure timely, accurate shipments.
- Act as backup for Documentation Specialist and assist with export documents.
- Generate commercial invoices and support international documentation.
- Help manage sales orders and assist Client with open order clearance.
- Assist with cycle count reconciliation.
- Support SAP training and process development.
- Ensure compliance with EAR, ITAR, and customs laws.
- Work with customs brokers, freight forwarders, and carriers on shipments.
- Track, trace, and resolve shipment issues.
- Oversee trade compliance with export laws and company policies.
- Stay updated on international trade regulations.
- Coordinate with sales, procurement, and warehouse teams to meet demand.
- Address international shipping queries and documentation requests.
- Provide general support to the Supply Chain Department.
- Perform other related duties as assigned.

Qualifications & Requirements:
- Bachelor’s degree in Business with specialization in Supply Chain or Logistics, or equivalent combination of education and experience is required. At least 5 years of overall related work experience required. Individual must be bilingual in English and Spanish.
- At least 3 years of demonstrated work experience applying import/export regulations. At least 2 years of experience working in export/trade and ITAR/EAR compliance and a minimum of 2 years of experience in the medical device industry or related field is required.
- Experience with MS Office365 required; ERP systems, such as SAP preferred.
- Attention to detail with the ability to communicate effectively with all levels of management within the company, as well as with US Government officials as required.
- Knowledge of Incoterms and export codes, (example: schedule B), taxes and tariffs.
- Ability to clearly express oneself verbally and in writing effectively with employees and other business contacts in a courteous and professional manner.
- Excellent customer focus with a high sense of urgency. Ability to provide excellent interpersonal and communication skills.
- Ability to function calmly in a fast-paced environment managing multiple priorities simultaneously. Ability to positively manage situations of a dynamic nature; to modify plans, actions, and decisions in light of changing situations and circumstances while still meeting, or proposing modified, deadlines.
- Experience with domestic and international 3PL for product and distribution strategies.
- Strong ability to conduct a comprehensive analysis prior to making a decision. Erroneous decisions have the potential to impact achievement of business objectives.
- Able to travel up to 10% with some weekend travel within the United States and internationally.
- Ability to lift up to 20 lbs.

Salary: $80,000 to $91,000 annual salary depending on experience. Includes a comprehensive Benefits plan and potential annual bonus.
